Responsibilities
- Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and financial tracking.
- Organize and file documents both physically and digitally, ensuring easy retrieval and confidentiality.
- Support calendar management by scheduling appointments, meetings, and coordinating personal assistant tasks as needed.
- Assist with office management tasks such as ordering supplies, maintaining office equipment, and overseeing general administrative functions.
- Provide excellent customer service by supporting clients, vendors, and team members through clear communication and timely responses.
- Proofread documents for accuracy and clarity while ensuring all correspondence adheres to company standards.
Qualifications
- Proven experience in an office environment with strong clerical skills and familiarity with office management procedures.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, QuickBooks, and basic computer literacy.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
- Strong typing skills along with attention to detail for proofreading and data entry tasks.
- Experience handling multi-line phone systems, calendar management, filing systems, and customer support roles.
- Bilingual abilities are a plus to assist diverse client needs; excellent phone etiquette is essential.
- Previous experience as a receptionist or personal assistant is highly desirable; knowledge of medical or dental receptionist duties is a bonus.
