As a family-centric organization, we seek a dedicated Executive Personal Assistant who embodies our values and can provide exceptional support to our CEO and his family, as well as contribute to the smooth operation of our business activities.   Position Summary:  The Executive Personal Assistant will provide high-level administrative and personal support to the CEO of Fischer & Wieser Specialty Foods, as well as light assistance to his wife and adult children (ages 31, 29, and 27), all of whom play integral roles in the family business. This role includes managing the CEO’s professional and personal calendar, performing light bookkeeping, handling personal bill payments, and supporting our short-term retail program (including our bed and breakfast) with administrative tasks. Additionally, the role involves working closely with the company’s accounting department to maintain corporate business records, contracts, leases, and general business activities (excluding accounts receivable and accounts payable).   The Executive Personal Assistant will also provide supportive communication with corporate attorneys and the CEO’s personal accounting firm as needed. The role focuses on maintaining organized tax-related expenses and information, assisting with personal tax filings, and ensuring clear and efficient communication on behalf of the CEO while not serving as the primary liaison for legal or accounting matters.   Key Responsibilities:   Administrative Support:   Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.   Coordinate internal and external communications on behalf of the CEO.   Prepare documents, presentations, and correspondence with attention to detail and quality.   Bookkeeping & Financial Management:   Perform light bookkeeping tasks, including expense tracking and reporting.  Manage and pay personal and household bills for the CEO and his family.   Maintain records of tax-related expenses and information for personal tax purposes. Support Short-Term Rental Program:   Provide administrative support for the bed and breakfast operations, including reservations, guest communications, and vendor coordination.   Assist with event planning and special projects related to the short-term retail program.   Corporate Administrative Duties:   Collaborate with the accounting department to maintain corporate business records, contracts, leases, and general business activity.   Ensure compliance and organization of business documentation, excluding involvement in accounts receivable and accounts payable activities.   Tax Coordination & Legal Support:   Communicate with corporate attorneys and the CEO’s personal accounting firm as needed, supporting the CEO’s interactions with these professionals.   Maintain organized and accurate tax-related records and documentation throughout the year.   Assist in providing necessary data and documentation to accounting firms and bookkeepers for personal tax filings.   Support legal and financial processes by preparing and organizing documentation as requested by the CEO.   Do not engage in corporate tax matters, which are managed by the company’s accounting department.   Family Assistance:   Provide support to the CEO’s wife, including scheduling, travel planning, and personal errands.   Assist the CEO’s adult children with business-related and personal tasks as needed, promoting a spirit of family and teamwork.   Personal Assistance:   Coordinate personal events and family gatherings, contributing to a joyful and organized environment.   Manage household services and liaise with vendors and service providers.   Handle ad hoc errands and special projects with a proactive and service-minded attitude.   Organizational Management:   Maintain filing systems, both digital and physical, ensuring supreme service and efficiency.   Develop organizational processes that support top quality and streamlined operations.   Experience:   Minimum of 3-5 years of experience as an Executive or Personal Assistant, preferably supporting senior executives.   Experience with light bookkeeping, financial management, and tax-related documentation.   Experience supporting legal and accounting communications is highly desirable.   Experience in hospitality or bed and breakfast administration is a plus.   Skills:   Exceptional organizational and multitasking abilities.   Proficiency in Microsoft Office Suite and basic accounting software.   Strong written and verbal communication skills.   Discretion and ability to handle confidential information with integrity.   Ability to speak and read Spanish is desired.
